Terms and Conditions

1. Services Provided Latitude Event Planning & Venue ("The Company") provides event coordination, venue rental, and décor services as agreed upon in the signed contract. All services will be executed as outlined in the client’s finalized proposal or agreement.

2.1. Booking and Payment (Venue Rental)

  • A non-refundable retainer of $100 is required to secure your booking for half-day rentals. The remaining balance is due 1 month before the scheduled event.

  • A non-refundable retainer of $250 is required to secure your booking for full- day rentals. The remaining balance is due 1 month before the scheduled event.

  • Payment plans may be available upon request but must be approved and agreed to in writing.

2.2. Booking and Payment (Full Service Events)

  • A non-refundable retainer of 35% is required to secure your booking. The remaining balance is due within 1 month of the scheduled event.

  • Payment plans may be available upon request but must be approved and agreed to in writing.

 

3. Cancellation Policy

  • All payments made are non-refundable.

  • In the event of a cancellation, clients will receive a credit equal to the amount paid. This credit can be used toward future services (event coordinator, venue/decor rental) of the equal or lesser value within 6 months from the original event date. After 6 months, the credit will expire.

  • Rescheduling is subject to availability and must be requested at least two weeks prior to the original event date.

 

4. Venue Usage

  • Clients agree to abide by all rules and regulations of the venue, including capacity limits, noise restrictions, and clean-up requirements.

  • Any damages to the venue caused by the client or their guests will be the responsibility of the client and must be paid for in full.

 

5. Décor and Rentals

  • The Company retains ownership of all rented décor items. Clients are responsible for ensuring the items are returned in the same condition in which they were provided.

  • Damaged or missing items will result in additional charges to cover repair or replacement costs.

 

6. Liability

  • The Company is not liable for any injuries, accidents, or damages occurring during the event unless caused by negligence on the part of The Company.

  • The Company is not responsible for delays or disruptions caused by factors outside of its control, including but not limited to weather, acts of God, or venue issues.

 

7. Client Responsibilities

  • Clients must provide accurate and complete information about their event to ensure proper planning and execution.

  • Any changes to the event details must be communicated in writing and may incur additional charges.

 

8. Force Majeure In the event that The Company is unable to fulfill its obligations due to unforeseen circumstances beyond its control (e.g., natural disasters, government restrictions), the client will be offered a credit for the value of the services, valid for one year.

 

9. Photography and Marketing

  • The Company reserves the right to photograph events for promotional purposes. Clients may request in writing that their event not be used in marketing materials.

 

10. Agreement and Acceptance By booking services with The Company, clients agree to these terms and conditions. Any disputes will be resolved under the laws of the state of Missouri.
